What information is collected about you and why?

C4C collects and uses personal data on the basis that it is in its legitimate interest to do so, for example to keep records of transactions and to provide a service to its clients.

From the website: C4C collects information you provide by filling in our online enquiry form, and this will be used to respond to your enquiry. This may also be used to update you about C4C’s activities and employee ownership in general.  You may withdraw your consent at any time by emailing C4C at info@capitalforcolleagues.com or by writing to The Company Secretary, Capital for Colleagues, Second Floor Office C, The Design Centre, Roman Way, Crusader Park, Warminster BA12 8SP.

From clients and shareholders: Information is collected via the shareholder application process and through the relationship with you in order to comply with regulation, for the purpose of providing a service to you as a shareholder and to meet contractual obligations to you. The provision of your personal data is required in order to enter into a contract with C4C, however the provision of information for marketing purposes is voluntary. Phone calls to and from C4C may be recorded and monitored in order to comply with regulatory obligations.

How long is information kept?

If you are not a C4C client or shareholder, your information will be kept so that C4C may send you information about the company or employee ownership that you may find of interest. You may opt out from receiving such information at any time by emailing us at info@capitalforcolleagues.com or by writing to The Company Secretary at the address shown above.

If you are or were a C4C shareholder or client, your information will be kept for seven years after closure of your account. If legislation or a regulatory body requires the retention of information for longer, this will be done.

Who is your information shared with?

  • IT and other service businesses in order to provide and maintain our services;
  • Appointed auditors, accountants, lawyers and other professional advisers, to the extent that they require access to the information to provide advice;
  • Fraud prevention agencies and other organisations to allow relevant checks to be undertaken;
  • the Financial Conduct Authority, the Information Commissioner’s Office, or any relevant regulatory authority where they are entitled to require disclosure;
  • If required to do so to meet applicable law, the order of a Court or market rules and codes of practice applicable to the circumstances at the time;
  • Relevant authorities to investigate or prevent fraud or activities believed to be illegal or otherwise in breach of applicable law;
  • In the event that C4C sells or buys any business or assets, C4C and its advisers will disclose your personal information to the prospective seller or buyer of such business or assets.

Selling or lending your information

C4C will not sell or lend your information to third parties. Your personal information may need to be shared with our service providers, which may involve transferring it to countries outside the European Economic Area (EEA).

Marketing

If you agree, C4C may send you information about C4C and employee ownership in general by email. This information may be about other companies in the Employee Ownership sector, or connected with the sector, which may be of interest to you. If you have consented to receive marketing information, you may still opt out at a later date. You have a right at any time to stop C4C from contacting you for marketing purposes. If you no longer wish to be contacted, please write to the Company Secretary at the address shown at the top of this notice or email info@capitalforcolleagues.com.

Your rights

You have certain rights in respect of the data held relating to you. Details of these rights can be found on the Information Commissioner's Office website.

You are entitled to know about the information held about you and to get access to that information. You are also entitled to rectification, erasure, or restriction of processing of such information and the right to object. Please note that these rights may vary according to legal and regulatory requirements in place.

In order to exercise these rights or if you have any concerns about how C4C may use your personal information, please contact the Company Secretary at the above address. You can also contact the Information Commissioner’s Office (ICO).

C4C will endeavour to keep your information accurate however if at any time this becomes out of date, please notify C4C directly and it shall remove or amend the information, provided doing so complies with legal and regulatory requirements.
